How making an offer works,
step by step.
How taking an offer works,
step by step.
See exactly what happens from the moment you tap Make an offer to the moment your piece ships. See exactly what happens from the moment an offer lands in your dashboard to the moment you get paid.
-
STEP 1 OF 8 FIND
Spot an eligible listing.
Not every piece is open to offers. Sellers opt in per listing, so look for the Make an offer button under the price on the product page. If you see it, you can negotiate.
- Sellers can set hidden auto-accept and auto-decline thresholds, so a strong offer can be accepted instantly and a wildly low one can be declined right away.
- If a piece is in someone's cart or already has active offers, a small signal above the buy buttons tells you. Move fast on warm pieces.
-
STEP 2 OF 8 PROPOSE
Make your offer.
Tap Make an offer to open the offer popup. Type your amount, and the form shows the list price and your discount so you can sanity-check before sending.
SMART SUGGESTION The modal pre-fills an amount around 12% below list, which historically gets the best response rates. -
STEP 3 OF 8 OPTIONAL
Add a note (optional, but it helps).
A short note gives the seller context: have you purchased from them before, do you have a deadline, are you a long-time follower? Polite notes meaningfully lift accept rates, and your note becomes the first message in a Pulseheaven conversation tied to this offer, so any reply lands in your inbox.
- Mention if you'd pay instantly. Sellers like deals that close fast.
- Skip the sob stories. Keep it human and one sentence.
-
STEP 4 OF 8 WAIT
The seller accepts, counters, or declines.
You'll see their response on the Offers tab and as an in-app notification. If they counter, you can come back with another counter, accept, or walk away. Every round is logged on a vertical timeline both sides can see.
COUNTER ROUNDS Each offer caps at 3 counter-rounds. After that it's accept or decline.- Walking away is fine. The thread closes cleanly and the seller is notified.
-
STEP 5 OF 8 TIMING
Every step has a 24-hour clock.
Both sides have 24 hours to respond at each step. Miss the window and the offer expires automatically. The countdown is visible on every offer card so nobody is left guessing.
Same countdown both sides seeRESPONSE WINDOW 24 hours per step. The remaining time is shown live on every offer card. -
STEP 6 OF 8 ACCEPTED
Pay before the deal expires.
When an offer is accepted you get a checkout link with your price locked in. The payment window is also 24 hours. Pay within it or the accepted offer expires and the item goes back on sale.
PAYMENT WINDOW 24 hours from acceptance to complete checkout.- If you let an accepted offer expire without paying, it counts against your offer health badge and makes future sellers less likely to accept.
-
STEP 7 OF 8 REPUTATION
Your offer health badge follows you.
Sellers see a small reputation indicator next to your offer. Reliable buyers get more accepts; brand-new accounts and frequent non-payers carry softer signals so sellers can decide how strongly to engage.
- Paying accepted offers on time is the single biggest factor.
- Five or more completed purchases with zero unpaid offers earns Trusted buyer status.
-
STEP 8 OF 8 AFTER
Track the ship, then leave a review.
Once you've paid, the order moves into your Purchases tab. You'll see it update as the seller marks it shipped and the order completes. After that, a Leave a review link unlocks so you can rate the experience.
-
STEP 1 OF 7 INBOX
Offers land in your dashboard.
Open the Offers tab to see every incoming offer at a glance: the item, the buyer, the price, and how long you have to respond. The most urgent live offer takes the hero slot at the top, everything else flows below.
- A small notification dot appears on the Offers nav item whenever at least one offer needs your attention.
- Filter pills (All, Open, Pending, Countered, Accepted, Paid, Closed) scope the view without leaving the page.
-
STEP 2 OF 7 INSPECT
Check who you're dealing with.
Open any offer to see a buyer reputation badge built from their offer and payment history. It's the single best predictor of whether an accepted offer will actually convert into a paid order.
BADGE TIERS Trusted buyer, Good buyer, New to Pulseheaven, Mixed history, Unreliable buyer. -
STEP 3 OF 7 DECIDE
Accept, counter, or decline.
Three actions on every offer. Accept closes the deal and triggers the buyer's 24-hour payment window. Counter proposes a new price and hands the 24-hour clock back to the buyer. Decline rejects the offer, with a confirm tap so you can't reject by accident.
- Counter rounds cap at 3 per offer. After that, accept or decline.
- A small message icon next to the action buttons opens the full conversation thread with the buyer, where you can keep the longer back-and-forth.
-
STEP 4 OF 7 SIGNALS
Read the live activity signal.
Each listing carries a small social signal above the buy buttons. When it lights up, the piece is either in someone's cart or has active offers. If a listing is hot, time your response with that in mind.
Refreshes about once a minute -
STEP 5 OF 7 MESSAGE
Negotiate without leaving the thread.
Hit Message on any offer to open a Pulseheaven conversation tied to that specific piece. Ask about fit, share extra photos, share measurements, all without losing the negotiation context.
- The buyer's original note (if they sent one) is the first message in the thread. Reply right there.
- Photos sent in messages don't hit the public listing, which makes them great for fit shots.
-
STEP 6 OF 7 PROMOTE
Send offers to likers.
Got warm interest sitting on a piece? Hit Send offer to likers from the row in your products dashboard. Pulseheaven pings everyone who wishlisted it by email and in-app with a private offer at the price you set and a window you pick (12h, 24h, 48h, or 3 days).
Tracked as an active campaign on your Offers tab -
STEP 7 OF 7 AFTER
Ship and get paid.
Once the buyer pays, the order lands in your Sold tab with a prepaid shipping label ready to print. Drop the piece off with the carrier, the buyer follows along with tracking, and you get paid three business days after delivery confirms.
